Position Title: Campus Services/Wellness Administrative Assistant

Department: Health and Wellness

Reports Directly to: Director of Health and Wellness

Status: Non-exempt; Full-time

Salary: $16.00 - $20.87

Summary of Duties:

  • Greets Wellness Center visitors and refers visitors/clients to appropriate staff
  • Schedules students to meet with Health and Wellness professional staff
  • Manages Wellness Center’s telephone extensions; answers phones for department staff
  • Organizes office operations and maintains procedures
  • Types correspondence, memos, letters, reports, purchase requisitions/purchase orders, and other documents for Campus Services and Health and Wellness when requested
  • Attends meetings; records proceedings/minutes; disseminates reports to appropriate staff (Health and Wellness and/or Campus Services)
  • Maintains all incoming mail for Health and Wellness and Campus Services; sorts and distributes mail
  • Maintains Wellness Center office supplies; purchases supplies when needed
  • Coordinates repairs for Wellness Center office equipment
  • Assists Chemical Health, Wellness Counseling, Student Health, Cultural Wellness and Health Promotions staff when requested
  • Provides administrative support to the Director of Health and Wellness for special projects and selected routine tasks (e.g., making copies, scanning documents)
  • Assists students in scanning/emailing health information and communication as needed to outside agencies and in cases of emergency
  • Gathers student data for electronic health records; manages information with Student Health Coordinator
  • Inputs student demographics into electronic health records system
  • Maintains all hard copies of student files for Wellness Center services
  • Schedules appointments, airline schedules, and travel requisitions for Vice President of Campus Services
  • Maintains file system, phones, faxes, and calendars for Vice President of Campus Services
  • Reviews time sheets for Campus Services
  • Coordinates meeting room rentals for Wellness conference room and Cafeteria conference room
  • Performs other duties as assigned to support Campus Services and Wellness Center program operations

Supervisory Responsibilities:None

Working Conditions:

  • General office conditions; normal working hours from 8:00 a.m. until 5:00 p.m. with one hour for lunch

Physical Demands:

  • Be able to sit for longer periods of time
  • Be able to stand, walk, reach with hands and arms, stoop, and kneel
  • Be able to life up to 25 pounds
  • Be able to walk up and down stairs

Minimum Qualificationss:

  • Associates degree and no work-related experience, or high school diploma or GED with three (3) years’ work-related experience
  • ND Driver’s License and insurable by UTTC’s insurance carrier

  • Knowledge of Native American culture
  • Strong organizational skills, ability to manage stress, and good time management skills

  • Good decision-making skills and excellent follow through
  • Knowledge and experience using of Microsoft Office Suite
  • Accuracy in spelling, grammar, and punctuation; high level of accuracy in preparing and entering information
  • Can operate standard office machines, personal computers, and have a strong background in Microsoft Office applications
