Position Title: Accounts Receivable Administrator- Close February 25, 2025 at 5:00 pm

Status: Non-exempt; Full-time

Salary: $20.00 per hour

Summary of Duties:

  • Accepts Travel Authorizations (TA) from various departments and requires hotel, flight, car rental arrangements per TA.
  • Responsible for receipting, reconciling, balancing, and correcting discrepancies for all Accounts Receivable accounts concerning:
    • Cash, checks, and credit card payments
    • the GSA travel credit card with TA’s
    • Student accounts (Housing, Cafeteria, Bookstore, Tribal and State Agencies)
    • Holding accounts (Cash on Hand, Pending Deposit and Student Program Fees)
  • Maintain check log and notify appropriate departments of payments received by UTTC and filing system.
  • Develops expert knowledge of U. S. Department of Education Student Financial Assistance programs and UTTC policy to ensure compliance in student billing and collection processes.
  • Follows UTTC policies and procedures to maintain accurate fiscal records and files with a clear audit trail that shows Title IV Financial Aid, award funds that were received, managed, disbursed, and returned in accordance with federal requirements.
  • Reconciles and corrects discrepancies for award fund accounts, Title IV Financial Aid Awards on a monthly and annual basis and for annual audit preparation.
  • Generate and apply student charges to student portfolio, fund awards, books, tuition, fees, Mailbox Deposits, and other miscellaneous fees.
  • Manage configuration in Jenzabar AR module, which include:
    • Charges by year and term
    • Student Account Statements
    • All other miscellaneous charges pertaining to student accounts.
  • Collaborate, manage, set up, and implement module permissions of charges in accordance with UTTC policy regarding holding accounts.
  • Coordinate and create student accounts receivable portfolio for the Vice President of Academic Affairs, Financial Aid Director, and Contracts & Grants Director.
  • Prepare, monitor, analyze monthly, annual AR Aging Report and provide information to the Contracts & Grants Director.
  • Monitor and issue bills (invoices) and statements to current students and third-party payers to make sure the student and third party pays all student expenses in accordance with College policies and guidelines.
  • Prepare self-pay notifications and collection letters on delinquent accounts, and send to students, third-party payers, with options to pay off debt or potential legal action.
  • Assists employees, vendors, clients, students, staff, or customers by answering questions related to financial accounts, procedures, and services.
  • Performs other duties as assigned, may include a minimum of 8 hours for Special Events.

Supervisory Responsibilities: None.

Working Conditions:

  • General office conditions
  • Normal working hours are from 8:00 am – 5:00 pm, Monday through Friday.
  • Evening, weekend, and holidays hours are sometimes necessary.
  • Some business travel may be required.

Physical Demands: 

  • Must be able to go up and down stairs.
  • Must be able to lift 25 lbs.
  • Must be able to sit for long periods.

 

Minimum Qualifications:

  • Education: Associate degree, preferably in a business-related field, is required.
  • Experience: At least three years of experience in higher education business and collections or related field.

Knowledge & Skills:

  • Must be experienced in MS Office software, demonstrated ability to learn Jenzabar software with appropriate training during probationary period.
  • Ability to interact in a professional manner with customers and coworkers, including conflict resolution and dealing with difficult situations.
  • Must possess above average oral and written communications skills.
  • Experience with local, state, Tribal and federal government agencies would be ideal.
  • Must be reliable and punctual.
