Position Title: Apprenticeship Program Administrative Assistant - Closes March 10, 2025 at 5:00 pm

Reports Directly to: Apprenticeship Coordinator

Status: Non-exempt; Full-time

Salary: $18.00 per hour

Summary of Duties:

  • Maintains databases for federal registered apprenticeships, both internal and external, as well as databases for internships, career services, and student activities and retention.
  • Assists students with processes related to financial aid, work-based learning and other services needed to ensure student success.
  • Provides administrative support for the daily operations of the apprenticeship, career services, and student activities and retention programs.
  • Assists with the apprenticeship and internship programs, communicates with employers and students, staff, tracks completion rates, maintains the records, and provides mentor orientation materials to employer participants.
  • Completes finance forms for travel for staff, student, and employer submissions.
  • Submits EPRs and consultant agreements for apprenticeships, career services and student activities and retention programs.
  • Works effectively with Student Accounts, faculty and advisors and Enrollment Services staff regarding students in apprenticeships and internships.
  • Assists with planning and implementation of activities for apprenticeship week, career fairs, transfer and career events, new student welcome week, and student tours.
  • Submits cafeteria requests and purchase requisitions for student tours as needed.
  • Maintains familiarity with regulations and standards of apprenticeship and career/occupation standards to correctly respond to emails, phone calls, questions from students, employers, and staff.
  • Serves as back-up to the Enrollment Services Specialist at the front desk of Enrollment Services for coverage for breaks and the lunch hour.
  • Assists the admissions office staff with keeping the conference room, front reception area and break room neat and orderly.
  • Serves as a key member of Enrollment Services with everyday tasks such as filing, organization and maintaining schedules, helping the staff they support when needed and making sure everything runs smoothly.
  • Provides timely correspondence to all constituents, including students, faculty and staff, and employers.
  • Other duties as assigned.

Supervisory Responsibilities: None.

Working Conditions:

  • Normal working hours are from 8:00 a.m. until 5:00 p.m.
  • Monday through Friday
  • One-hour unpaid lunch break

Physical Demands: 

  • Regularly be able to remain in a stationary position.
  • Occasionally move about inside an office and classroom.
  • Operate a computer and other office/classroom equipment.
  • Occasionally move, transport, or position up to 10 pounds.
  • Communicate clearly and effectively.
  • May need to ascend/descend stairs.

Minimum Qualifications:

  • Associate’s degree in Business or related field, bachelor’s degree preferred.
