Position Title: Finance Administrative Assistant - Part-time - Closes May 1 2025, at 5:00 PM

Department: Finance

Reports Directly to: Contracts & Grants Coordinator

Status: Non-exempt; Part-time

Salary: $18.00 per hour

Summary of Duties:

  • Completes correspondence, memos, letters, reports, purchase requisitions, and other documents for Finance.
  • Assists employees, vendors, clients, students, staff, or customers by answering questions related to financial accounts, procedures, and services.
  • Assists with processing credit card payments for customers.
  • Assists Accounts Receivable Specialist with reconciling accounts associated with daily activities.
  • Assists with department data entry in Jenzabar and Excel spreadsheets.
  • Attend meetings; record proceedings, take minutes, and type reports.
  • Coordinates the finance department calendar, maintains filing system, document scanning, routes telephone calls, and sends/receives faxes for finance.
  • Maintain all incoming mail for Finance; sort and distribute.
  • Assist with Maintaining Finance logs.
  • Assist with ordering office supplies and forms.
  • Assist with reconciling and balancing the credit card bill with TA’s.
  • Assist with travel reconciliation and aging reports.
  • Assist with maintaining filing system for travel.
  • Assist with journal entries for monthly internal department purchase requisitions.
  • Perform other duties as assigned, which may include a minimum of 8 hours for Special Events.

Supervisory Responsibilities: None.

Working Conditions:

General office conditions.  Normal working hours are from 8:00 am until 5:00 pm with one hour for lunch.

Physical Demands:

Must be able to lift 25 lbs. Must be able to sit or stand for hours at a time.

Minimum Qualifications:

AA/AAS Degree in Office Technology or related field with no working experience
