Position Title: CTE & WIOA Administrative Assistant Apprentice -Closes June 17, 2025 at 5:00 PM

Department: Academic Affairs -CTE

Reports Directly to: CTE & WIOA Coordinator

Status: Non-exempt; Full-time

Salary: $14.00

Summary of Duties:

  • Provide administrative support including answering phones, greeting visitors, and responding to inquiries.
  • Assist in entering and maintaining participant records in CTE and WIOA databases with confidentiality and accuracy.
  • Assist with entry and tracking of electronic Purchase Requisitions (ePRs) in accordance with departmental procedures.
  • Support the organization of documents, digital files, and correspondence related to student participation and departmental operations.
  • Help schedule and prepare materials for meetings, appointments, and CTE/WIOA events.
  • Operate basic office equipment (copiers, printers, phone system); report technical issues as needed.
  • Assist with data entry for purchasing, inventory tracking, and budget documentation. Distribute promotional and informational materials to students and visitors.
  • Provide support with setting up conference rooms, maintaining common areas (e.g., student lounge), and coordinating mail distribution.
  • Shadow and assist in case management and intake processes under supervision. Participate in special projects and other duties as assigned that contribute to CTE/WIOA goals.

Supervisory Responsibilities: None.

Working Conditions:

  • Working hours are based on student availability and class schedule
  • Work may be scheduled Monday through Friday between 8:00 AM and 5:00 PM
  • Must complete at least 10 hours per week, up to 30 hours during breaks if available

Physical Demands: 

  • Regularly be able to remain in a stationary position.
  • Occasionally move about inside an office and classroom
  • Operate a computer and other office/classroom equipment.
  • Occasionally move, transport, or position up to 10 pounds.
  • Communicate clearly and effectively.
  • May need to ascend/descend stairs.

Minimum Qualifications:

  • Must be at least 18 years old.
  • High School Diploma or GED required.
  • Must be currently enrolled in a degree program at UTTC (preferably Business Administration, Human & Social Services or General Studies).
  • Basic proficiency in Microsoft Office or Google Workspace preferred. Willingness to learn about workforce development and tribal college systems.

  • Must possess excellent communication skills.
  • Ability to establish and maintain cooperative and effective working relationships with others.
  • Ability to communicate effectively orally and in writing.
  • Ability and proven ability to report to work on a regular and punctual basis.
  • Perform all other related work delegated or required to accomplish the objectives of the college.
