Position Title: Executive Assistant to the President -Closes June 17, 2025 at 5:00 PM

Summary of Duties:
- Schedule and coordinate logistics to prepare pertinent documents, take minutes, and maintain electronic and hard copy files for UTTC Board of Directors, Administrative Council, and Administration meetings.
- Performs records management of a complex filing system by creating files and reports, updating files and records, determining retention, and purging schedules, and file retrieval as needed.
- Safeguards confidentiality by exercising discretion in communicating information and in handling administrative records, files, and similar confidential items.
- Promotes a positive respectful image through management of internal and external communications and response to incoming inquiries from a diverse public.
- Facilitates successful events with appropriate offices and agencies, advising/contacting participants or invited guests, preparing agendas and programs, arranging for audiovisual and associated support equipment, using independent judgment regarding event alternatives, modifications, or last-minute changes.
- Maintains budget records, reconciling and verifying vouchers and receipts for accuracy, producing financial reports and summaries, and approving expenditures when necessary.
- Assists the President by reviewing and monitoring UTTC personnel action forms and reviewing correspondence and documents prepared by other offices for the President’s signature.
- Facilitates efficient and cost-effective travel arrangements, approval forms, and expense reports for the President, Board of Directors, and other official visitors.
- Facilitates the efficient utilization of the President’s time through development and coordination of a complex calendar of appointments, meetings, and social engagements.
- Establish and update electronic contacts lists for local, state, Tribal, federal government officials, and tribal colleges and universities.
- Remains competent and current through self-directed professional development training or educational advancement as required by the President.
- Other duties and responsibilities as assigned.
Supervisory Responsibilities: Administrative Assistant
Working Conditions:
- Normal working hours are from 8:00 am – 5:00 pm, Monday through Friday.
- Evening, weekend, and holidays hours are sometimes necessary.
- May be required to meet deadlines with short notice.
- Some business travel may be required.
Physical Demands:
- Ability to remain in a stationary position.
- Ascend up and downstairs.
- Ability to lift to 20 lbs.
Minimum Qualifications:
- Education: Bachelor’s degree, preferably in a business-related field, is required.
- Experience: Increasingly responsible secretarial or administrative experience with extensive knowledge of general office procedures and supervision of others.
