Position Title: Administrative Assistant - Closes August 8, 2025 at 5:00 PM

Reports Directly to: Executive Assistant to the President

Status: Non-exempt; Full-time

Salary: $18.00

Summary of Duties:

Under the direct supervision of the executive assistant, performs all or some of the following duties:

1. Greets and assists all visitors that enter building 5 with a strong focus on great customer service.
2. Answers all incoming communications with a positive attitude and proper phone etiquette, routing them to the appropriate office, department, or agency for outgoing communications.
3. Maintains files, correspondence and other records. Sorts and reroutes mail for building 5
4. Responsible for supply inventory, reordering and corresponding reports.
5. Responsible for scanning and saving documents into database.
6. Assists with preparing board of directors’ informational packets for meetings.
7. Types correspondence memos, letter, reports, electronic purchase requisitions and other documents.
8. Creates and revises recordkeeping systems, office layout, forms control and implements changes.
9. Makes meeting arraignments, attends meetings, records proceedings, takes notes and types reports as needed.
10. Handles Electronic Purchase Requisition requests for Office of the President, Chief Financial Officer(CFO), and Campus Planner.
11. Completes travel authorization forms for CFO and Campus Planner.
12. Will work a minimum of eight (8) hours during Powwow weekend with Finance as needed.
13. Performs other duties as assigned.

Supervisory Responsibilities: • No supervisory responsibilities

Working Conditions:

  • General office conditions. Normal working hours are from 8:00 am until 5:00 pm with one hour for lunch.
  • Additional hours will be required to attend meetings or completion of reports as the need arises.
  • Occasional travel may be required. Business attire is preferred.

Physical Demands:

• Regularly be able to remain in a stationary position.
• Will need to be able to walk up and down stairs
• Occasionally move or lift up to 20 pounds.

Minimum Qualifications:

• Associates degree or equivalent or a minimum of four (4) years of work experience in the areas of the duties listed above
• Experience working with Microsoft Office, scanning, and faxing.
• Must have strong filing, office and organizational skills with above-average communication skills and reception etiquette. Must be prepared to work independently and make difficult decisions.

3. Knowledge of proper office procedures
4. Must have the ability to work under pressure
