Position Title: CREATES Program Coordinator

Salary: $50,000

Summary of Duties:

  • Develop a working knowledge of the Dept of Energy (DOE) National Nuclear Security Administration (NNSA) Minority Serving Institution Partnership Program (MSIPP) Tribal Energy Partnership Program (TEPP), including allowable costs and procedures as they apply to the CREATES grant award
  • Apply knowledge of program guidelines to ensure grant activities remain compliant with DOE NNSA MSIPP TEPP requirements
  • Support report writing and outline development to streamline CREATES program reporting in alignment with DOE NNSA MSIPP TEPP requirements
  • Implement and maintain compliance for the CREATES grant award data management plan
  • Track deadlines for annual progress reports and continuation requests required to maintain funding into future budget periods
  • Enter and maintain student information for all students supported through the CREATES program, including students attending subaward partner Northwest Indian College (NWIC)
  • Review NWIC invoices and progress against the approved subaward budget and scope of work; coordinate with the appropriate finance office to resolve discrepancies prior to payment
  • Support outreach activities on the UTTC campus and in the community; maintain records and documentation for all CREATES program activities, including outreach, student research, and K-12 initiatives, with photo releases and sign-in sheets
  • Process electronic payments for students conducting research activities locally and at other institutions, consistent with grant provisions
  • Monitor grant progress toward stated goals and work with the finance office to track expenditures against the approved five-year budget, flag variances, and initiate budget modifications, carryover requests, or no-cost extensions as needed
  • Review purchases for allowable cost determinations and compliance with federal procurement requirements, including competitive bidding thresholds, sole-source justification, and required documentation
  • Submit travel requests, payment forms, and other required paperwork to finance, transportation, housing, and other campus departments as needed
  • Record and distribute minutes for grant-related meetings; support recruitment efforts through development of flyers and other promotional materials
  • Comply with all college policies and procedures by participate in college-sponsored professional development, department meetings, and other institutional activities.

Minimum Qualifications:

  • Minimum of a bachelor’s degree in business administration, STEM field, or related field required; master’s degree Preference will be given to an applicant with grant or project management experience.
